Brad StevensClientFounder & CEO, Outsource Access
Dave AndersonCSM (personally managing)Took over from Michaela after June 11 reset call. Director of Client Services.
HashimMedia BuyerHandles ad spend, targeting, YouTube campaign optimization. Also works with Aleric.

Purpose of This Call

Deep-dive audit with the media buyer to define strategy before scripting. This is NOT the scripting call. Dave and Hashim need to understand Brad's business, target audience, and assets so they can design the campaign architecture. The scripting call comes after.

What happens after this call:

  • Scripting Call (Dave leading personally) ... they deliver a 75%-complete VCT outline
  • Brad fills in teaching points + case studies
  • VCT Recording
  • Funnel Build
  • Ads Launch (Hashim manages)

Context: June 11 Onboarding Reset

Junior CSM Michaela ran initial onboarding ... unprepared, repeated questions from sales calls, didn't grasp Brad's core need (vertical selection from 80+ industries). Dave took full responsibility and personally assumed CSM duties. Moving comms from Circle to Slack Connect specifically for Sterling AI integration. Dave will complete intake form using existing sales-phase notes (no repeat info-gathering).

The Video Acquisition Engine (VAE)

VAE is a 4-Step System

Brad has completed 4 of 39 lessons (10%) in AdOutreach's circle community. Here's the full framework:

Step 1: Video Conversion Training (VCT)

The core asset. Hybrid of organic YouTube video + VSL. Feels like real content, not a pitch. 3 goals: (1) Deliver a powerful shift in perspective, (2) Provide real no-strings value, (3) Position you as authentic authority.

Step 2: Video Ad

Short ad driving opt-ins. Confidence is #1 factor. Audio > visuals. Target 0.6%+ CTR. Thumbnails critical.

Step 3: Video Conversion Funnel (5 pages)

Opt-In Page → Video Watch Page → Call Booking Page → Application Page → Next Steps Page. They recommend GoHighLevel.

Step 4: Launch Ads

Complete Launch Readiness Form, schedule Ads Launch Call. Hashim handles media buying from there.

The 8-Part VCT Structure

This is what Brad will script. AdOutreach delivers a 75%-complete outline after the Scripting Call. Brad fills in teaching points and case studies.

3 Strategy Options for This Call

Brad's Strategic Direction

Brad is done going broad. His conviction: "hyper-niche at scale." Build Campaign #1 (prove the model), then replicate the template across 4-5+ verticals. AI agents handle content production, ad variations, and lead nurturing across all verticals simultaneously. Share this multi-niche vision with Dave & Hashim so they build modularly.

Option 1 Generalist: "Top 10 Things Every Entrepreneur Should Use a VA For"

Broad educational content targeting any overwhelmed entrepreneur. Wide net.

Teaching Points & Script Outline

Teaching Points:

  • The Two Question Exercise (constraint + energy drain identification)
  • The 5 roles every entrepreneur should delegate first
  • How to integrate a VA with AI tools to 10x output

Target Avatar: Entrepreneur, $1M-$10M revenue, 5-50 employees, overwhelmed, knows they need to delegate.

Pros
  • Massive addressable market
  • Leverages all existing content
  • TEDx (230K views) proves resonance
Cons
  • Expensive to target (broad = higher CPM)
  • Lower conversion rate
  • "Generalist" is what Brad's moving away from

Option 2 The Two Question Exercise (Generalist Entry Point)

Brad's signature framework becomes the VCT. Intriguing because it's deceptively simple.

Teaching Points & Script Outline

The Two Questions:

  • Q1: "What constrains your growth?"
  • Q2: "What drains your energy?"

Already proven with 15,000 EO members globally. Landing pages built (two-question-exercise.pages.dev). Natural bridge to VA/AI conversation.

Target Avatar: Same as Option 1, but stronger hook. Anyone who feels "stuck" or "overwhelmed."

Pros
  • Exercise = lead magnet AND teaching content
  • Simple, memorable, shareable
  • Proven with 15K EO members
  • YouTube ad hook: "Two questions that will change your business"
Cons
  • Still generalist at core
  • May attract tire-kickers
  • Doesn't position Brad as industry expert

  • Deepest case study library (FiveTraks, Heiler, WOW 1 Day, That1Painter, Fire Protection)
  • VA Christine sold $100K in 6 months. VA Aivan replaced 3 managers at $180K for $30K/year.
  • Software expertise built: FieldRoutes, JobNimbus, HouseCall Pro, ServiceTitan
  • Average contractor misses 30-40% of inbound calls ... each = $300-$1,500 lost

Full VCT Script Outline (8 Parts)

1. Welcome & Setup
~2 min

"If you own a pest control or lawn care company and you're still answering phones, chasing estimates, and doing your own books at midnight... this video is going to show you how to get 30-50 hours of your week back without hiring a $60K office manager."

2. Teach #1: The Revenue You're Losing Right Now
~6 min

Missing 30-40% of calls ($300-$1,500 each). 50-70% of estimates unconverted. Google reviews flat. Add up: $10K-$30K/month on the table. FiveTraks: 1,000 treatments/week managed by one VA.

3. Early CTA
~30 sec

"If you want to see exactly how much revenue you're leaving on the table, book a free audit call."

4. Teach #2: The 3 Back-Office Functions That Leak Money
~6 min

(1) Call answering + scheduling (VA live, AI overflow, +40-60% capture). (2) Estimate follow-up (3-7 touches, +10-20pt close rate). (3) Review management (20 → 200+ in 6 months). ROI: 5 recovered calls/week pays for VA 4x over.

5. Mid CTA
~30 sec

"We've done this for pest control and lawn care companies across the country. Want to see the case study?"

6. Teach #3: VA + AI + Your Software
~5 min

VA becomes FieldRoutes/ServiceTitan expert running 8 hrs/day. AI handles repetitive (review responses, confirmations). VA handles judgment calls. Graduate from "technician who owns a business" to "business owner."

7. 3 Case Studies
~5 min

FiveTraks: VA replaced 3 managers ($180K → $30K). Christine: $100K upsells Q1. 6 locations.
Heiler Painting: $4M → $8M.
WOW 1 Day / That1Painter: Additional home services proof.

8. Close & Final CTA
~2 min

"You got into this business because you're great at what you do. A dedicated VA at $1,895/mo gets you out of the back office. No long-term contract. We match you in days."

Target Avatar

BusinessPest control or lawn care, $1M-$5M revenue
Team5-20 employees (mostly field techs)
SoftwareFieldRoutes, HouseCall Pro, or ServiceTitan
Pain30-50 hrs/week on scheduling, dispatching, follow-up, bookkeeping. Missing 30-40% of calls. Estimates not followed up. Reviews stuck at 20-50.
DesireGet out of the truck. Take a vacation. Grow to next tier.
Income$150K-$300K/year owner draw
Age30-55
Hangs outYouTube, FieldRoutes Community (FB), Owned & Operated podcast, trade shows
Pros
  • Every word speaks directly to ONE buyer type
  • Deepest proof (FiveTraks, Heiler, multiple case studies)
  • Lower CPM on YouTube (less competition)
  • Higher conversion rate (their pain, not generic)
  • Sets up "hyper-niche at scale" ... campaign #1 of 4-5+
  • FieldRoutes expertise = competitive moat
Cons
  • Smaller initial audience (but higher quality)
  • Requires industry-specific VCT content
  • If vertical doesn't perform, must pivot
YouTube Keyword Research (VidIQ)

Core Insight

People searching "virtual assistant for my business" are a tiny pool. The massive opportunity: intercept business owners searching for help with their software and operational pain points. A pest control owner watching "FieldRoutes tutorial" is telling you they're overwhelmed. They need a VA ... they just don't know it yet.

Content Gap: What's Missing on YouTube

  • Nobody connects software tutorials to delegation. Hundreds of "how to use ServiceTitan" videos, zero say "have someone else use it FOR you at $9/hour."
  • "Owner doing everything" pain point is unaddressed. Videos teach technical skills OR talk about scaling abstractly. Nobody bridges the gap.
  • No VA-specific content for home services. "virtual assistant for pest control" has zero volume, but "pest control marketing" (14.9K/mo) is packed with owners who need exactly that.
  • Roofing CRM tutorial content is thin. AccuLynx at 4.3K/mo with only 7.0 competition ... nearly wide open.

What Dave & Hashim Will Ask

"What are your 3 teaching points?"

If Generalist:

  1. Two Question Exercise
  2. 5 roles to delegate first
  3. VA + AI integration = 10x output

If Hyper-Niche (Home Services):

  1. Why home services owners are the #1 bottleneck (+ the math)
  2. 3 back-office functions that leak the most revenue
  3. How a $1,895/mo VA replaces $30K+/yr in admin costs

"What case studies do you have?"

See Asset Library above. Strongest: FiveTraks ($180K → $30K), Heiler ($4M → $8M), Sam Fuchs ($450K savings), District Taco (35% catering increase).

"What's your offer/CTA?"

  • Primary (OA): Book a free strategy call. Dedicated VA, no long-term contract, $1,895/mo.
  • Secondary (Maximize My VA): $40-50/mo subscription for existing VA owners. Lower-commitment CTA.
  • Book (Aug 30): "Automate and Delegate" pre-order or waitlist. Warm-up CTA.

"What does your funnel look like?"

No AdOutreach-style VCF built yet (that's what they're building). Existing assets:

  • Top: YouTube (457 videos, 2 channels), TEDx, podcast, LinkedIn Lives, Inc. articles
  • Mid: Two Question Exercise, 70+ industry playbooks, webinar recordings
  • Bottom: 40+ case study decks, testimonial videos, OA sales presentations
  • CRM: HubSpot

"Who is your target audience?"

This is THE question for the call. See Strategy Options above. Recommendation: lead with Option 3 (pest control + lawn care owner, $1M-$5M, 5-20 employees, FieldRoutes/HouseCall Pro/ServiceTitan user).

"What's your budget?"

Typical AdOutreach clients: $3,000-$5,000/mo YouTube ad spend (on top of management fee). Standard recommendation: 90 days to optimize. Be prepared to discuss comfort level for initial test campaign.

What Brad Should Ask THEM

  • Which industry keywords have the lowest competition / highest intent on YouTube ads? (Share your VidIQ research for validation)
  • Which Google in-market audiences favor certain industries over others?
  • Have they run campaigns for home services clients before? What worked?
  • Can they build the first VCT as a replicable template for 4-5+ verticals? (Modular architecture)
  • What's the realistic timeline from this call to ads live?
